Scope

2.1 This policy applies to all employees, contractors, suppliers, and business partners associated with Pacific Hygiene including but not limited to:

2.1.1 All documentation, including but not limited to emails, must comply with the Company's Brand Usage Policy.

2.1.2 Marketing personnel should approve documentation if there is uncertainty about meeting these requirements.

Procedure

3.1 It is strictly prohibited to generate or distribute communication containing:

3.1.1 Explicit language of a sexual nature.

3.1.2 “Swear” words.

3.1.3 Derogatory comments (especially related to race, religion, age, or orientation)

3.1.4 Harassment, including badgering, forceful persuasion, threats, or anger.

3.1.5 Pornography or offensive images.

3.2 Business Use of Email:

3.2.1 Email attachments related to work issues from suppliers, customers, and others should be treated as suspicious. Refer to the Information Technology Policy for further clarification.

3.3 Use of Blind Carbon Copy (BCC):

3.3.1 All staff must understand how to use this function when sending blanket emails to multiple recipients without revealing individual names.

3.3.2 Refer to Personal Data Protection Policy

4.1 All employees, contractors, and partners are expected to comply with this Communication Policy. Failure to do so may result in disciplinary action, up to and including termination of employment or contractual relationships
